summary
In this post, I’m sharing my top tech and system tools perfect for small businesses. From project management to CRM, these tools are my daily essentials. I’ll walk you through each one, highlighting pricing, pros, and cons. Remember, a great business system starts with your process, not just the tech.
WANNA LISTEN INSTEAD?
1. Zoom
First up is Zoom, an excellent tool for small businesses for hosting group coaching, membership, and one-on-one calls. It's widely used, integrates with many other platforms, and has a user-friendly interface. However, note that the free plan has time limits, and there have been security issues in the past.
2. Google Drive
Google Drive is where I store all my business documents. It's a great choice for small businesses as it integrates with nearly everything and is accessible anywhere. However, it has limited offline access and potential security concerns for sensitive data.
3. Dubsado
Third on the list is Dubsado, my preferred CRM platform for managing one-on-one client relationships. It provides comprehensive client management features and customizable workflows and forms, making it an excellent tool for small businesses. It does have a steeper learning curve and might be overwhelming for beginners.
NOTE: Although I still think Dubsado is a great tool and do recommend it, I am no longer using it as my CRM. If you want to know what I’m using and why I switched, you can read about it here.

4. Notion
Notion is a versatile tool I use every day. It's ideal for both personal and professional use, especially for small businesses, and has numerous templates and integrations. However, it can be complex to set up initially, and the mobile app is not as robust as the desktop version.
5. MailerLite
I recommend MailerLite for small businesses. It offers a lot for FREE, including landing pages, email automations, email blasts, forms, segmentation, groups, personalization, and integration. However, some features are limited on the free plan, and advanced features can come with a higher price tag.
6. Squarespace
Squarespace is my top choice for website hosting for small businesses. It's user-friendly, allows for mobile edits, and is constantly adding new features. However, it has limited flexibility for advanced customization and can be more expensive compared to some competitors.
7. Canva
Lastly, I want to mention Canva as a bonus tool. With Canva, small businesses can create anything from graphics and PDFs to eBooks and quizzes. It's intuitive, affordable, and offers a lot of free content. However, it might not meet the needs of professional graphic designers, and some features require a Pro subscription.
That's it! These are my top 7 tech and system tools for small businesses. I've created a free guide to these tools using Canva. It includes all the information I've shared here and direct links to each tool. By using my guide, small business owners can take advantage of my discount codes and help support the podcast.
